Health & safety

Camp is physically demanding. This is held in confidence and used only to keep you safe.

For the safety and welfare of all participants, we require you to disclose any medical or psychological conditions you have been diagnosed with, and any prescription medication you are currently taking. Your disclosure will be handled confidentially by our welfare team.

1 · Introduction

The purpose of this combined Code of Conduct and Activities Waiver & Release of Liability is to provide a clear, legally compliant framework that ensures the safety, dignity, and well-being of every participant, volunteer, and staff member attending SW Camp 2026 in Thailand (“the Camp”). This document is governed by, and shall be construed in accordance with, the laws of England & Wales. Nothing in this document excludes or limits liability for death or personal injury caused by negligence, in accordance with Section 2(1) of the Unfair Contract Terms Act 1977.

All participants (and parents/guardians of participants under 18) must read, understand and sign this Agreement before the start of Camp.

2.2 · Specific Guidelines
Substance Use

The possession or use of alcohol, non-prescribed drugs or weapons is strictly forbidden. Prescription medication must be declared on this Application Form and stored/taken as directed.

Participation

Engage fully in scheduled activities unless medically excused by Camp staff. Observe all wake-up, curfew and lights-out times.

Electronic Devices

Mobile phones and other devices are not to be used during workshops/activities without prior permission.

Personal Space

Respect the privacy of others. Do not enter accommodation assigned to another participant without permission.

Conflict

Resolve disagreements peacefully. Seek assistance from a Camp Leaders if Resolution required. Physical or verbal aggression is unacceptable.

2.3 · Safeguarding & Welfare

SW Camp operates under a Safeguarding Policy consistent with statutory guidance Working Together to Safeguard Children (2023). Any safeguarding concern must be reported immediately to the Designated Safeguarding Lead (DSL) or a Deputy DSL.

2.4 · Data Protection

Personal data supplied by participants is processed in accordance with the UK GDPR and Data Protection Act 2018. Data will be retained only as long as necessary for Camp administration, safeguarding or legal purposes.

2.5 · Consequences of Misconduct

  4. Expulsion from Camp (without refund and at the participant’s/guardian’s expense)

The Camp reserves the right to involve parents/guardians and, where necessary, external agencies (e.g., police) in serious incidents.

3 · Activities Waiver & Release of Liability
3.1 Description of Activities

Camp activities may include, but are not limited to: high-intensity workouts, boxing, wrestling etc, taster sessions, outdoor challenges, lake-side events, campfires, workshops and communal prayers.

3.2 Acknowledgement of Risk & Voluntary Participation

I understand and acknowledge that: participation is voluntary and involves inherent risks of physical injury, emotional stress, or property loss. I am (or my child is) medically and mentally fit to participate. All relevant medical/psychological conditions have been disclosed in this Application Form.

3.3 Medical Consent

In an emergency, I authorise qualified medical personnel to administer treatment. I accept financial responsibility for any associated costs.

3.4 Release & Indemnity

Except for liability that cannot be excluded under English law (including death or personal injury caused by negligence of the Camp or its staff), I release and hold harmless SW Camp organisers, officers, volunteers and affiliates from all claims arising from participation. I agree to indemnify the Camp against any loss or expense incurred due to my (or my child’s) actions or breach of this Agreement.
